FINAL PAPER SUBMISSION GUIDELINES

All final submissions should be written in English with a maximum paper length of six (6) printed pages (10-point font) including figures without incurring additional page charges (maximum 1 additional page with overlength page charge of USD100, the additional page charge must be paid through EDAS). Papers exceeding 7 pages will not be accepted at EDAS.

When preparing your final manuscript, please pay also attention to the following:

  • If your paper has been prepared using Microsoft Word, please ensure that you have used the most current version which will help reduce word-to-pdf conversion issues such as embedded fonts, bookmarks, etc.
  • No page numbers and no headers/footers
  • Use non-zero PDF top and bottom margins (typically at least 0.5 inches/12.7 mm) to help indicate if there are any page numbers. 
Final papers upload via EDAS:
Authors must use the upload link (file folder icon) at "My papers" on EDAS. Non-refundable registration fees must be paid and the standard IEEE copyright transfer form must be completed and uploaded prior to uploading the final IEEE formatted, publication-ready version of the paper. In order to upload your paper, you are required to provide your registration confirmation number.

You can also use the sample template for Microsoft Word: A4, US letter.

All paper PDF files must be prepared through IEEE PDF eXpress in order to be compatible with the requirements of the IEEE Xplore. Proofread your source document thoroughly to confirm that it will require no revision.
 
Creating your PDF eXpress Account
Log in to the IEEE PDF eXpress site
 
First-time users should do the following:
  1. Select the New Users - Click Here link.
  2. Enter the following:
  • 38831X for the Conference ID
  • your email address
  • a password
  1. Continue to enter information as prompted.
 
An Online confirmation will be displayed and an email confirmation will be sent verifying
your account setup.
 
Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

 

IMPORTANT NOTICES:

IEEE COMSOC POLICY:   To be published in the IEEE SmartGridComm 2016 Conference Proceedings and to be eligible for publication in IEEE Xplore, an author of each accepted paper is required to register for the conference at member or non-member rate, and the paper must be presented by an author of that paper at the conference unless the TPC Chair grants permission for a substitute presenter in advance of the event and who is qualified both to present and answer questions. Please note that Student registration rates are not eligible for uploading an accepted paper. If you have an accepted paper in a Workshop and intend to attend only for the day of Workshop (6 November 2016) you can register for Workshops only and upload your paper. But if you intend to attend the rest of conference (7-9 November) you will need to register for the main conference too.

PRESENTER SUBSTITUTION POLICY:   If no co-author is available to present the paper at the conference, the TPC Chair can grant permission in some extreme cases to have the paper presented by a qualified substitute presenter. If you need to make such a request, contact the TPC Chair for approval no later than 31 October 2016.
